TRIP CONDITIONS AGREEMENT

This document outlines what Rasmussen Travels (“RT”) agrees to provide when you sign up for a tour, and what you agree to do in return (“Tour Conditions”). This is very important information, so please read it carefully before you complete your reservation request.

Trip price guarantee: Our tour prices do not include airfare, and are subject to change without notice due to the unpredictability of currency rates and trip costs. However, your price for the tour you’ve selected will be locked and guaranteed the moment we receive your deposit. For current tour prices, call Rasmussen Travels at 309-823-9023.

Included in the price of each trip: Sightseeing tours by Alex Rasmussen of Rasmussen Travels Co.; events when going as a group (as determined by RT); some breakfasts and dinners (as determined by RT); accommodations each night; specified transportation from the destinations to Bloomington-Normal (not all trips have travel to included, does not include optional activities or independent travel during the tour).

Itineraries are subject to change: Travelling is full of surprises, and we need to be flexible enough to take advantage of whatever comes along so that we may provide you with the best possible tour. Uncompleted portions of the tour itinerary are not cause for refund.

Trip payments: To reserve a seat on a RT trip you must agree to these Trip Conditions and provide us with a deposit calculated by trip total. We accept your personal check, debit card, and credit card from a US bank account (or a bank draft/money order drawn on a US bank) made payable to “Rasmussen Travels Co.” in US dollars. We also accept cash if given in person. Your final trip payment is due in the office at least 40 days prior to the start of the trip, in one payment. Your final payment due date will be listed on your initial confirmation letter and trip invoice. Missing the final payment deadline may result in your being removed from the trip. If you sign up for a trip less than 40 days before its departure, the entire trip price must be paid, and the deposit portion is nonrefundable. (Trip deposit refunds are discussed below.)

Returned payments: If a payment to RT is returned unpaid for any reason, we will assess a $35 returned-item fee per occurrence. The fee(s) will be added to the applicable tour balance, and must be paid in full prior to your tour departure.

Cancellations and refunds: Your tour deposit is 100% refundable for 10 days from the date it is received, unless noted otherwise below. After 10 days your deposit becomes nonrefundable, and will be forfeited should you decide to cancel your reservation. Deposits made between 50 and 40 days before a tour departs become nonrefundable on the final payment due date. If you book a tour less than 40 days before its departure date, the entire tour cost becomes non-refundable after 7 days. Cancellations must be in writing: sent via email to admin@rasmussentravels.com, or mailed to the address below. Cancellations become effective on the date received by Rasmussen Travels Co..

Trip Cancellation/Interruption Protection: Your trip price includes Tour Cancellation/Interruption Protection. This is not intended as a substitute for comprehensive health and travel insurance! You will receive a detailed explanation of this protection in the Pre-Trip Planner enclosed with your initial confirmation letter; you may also review the terms on our website. If we cancel a trip you have reserved, the entire amount you have paid to RT for the applicable tour will be refunded to you within 14 days after the tour’s cancellation. Once this occurs, RT and its representatives have no other obligations to trip members on cancelled trips including any additional costs or fees related to the issuance and/or cancellation of airline tickets or other travel reservations not made by RT.

Trip forms, obligations, and risks: To travel on a trip, and to qualify for Trip Cancellation/Interruption Protection, all trip members are required to sign and return a Release and Waiver Agreement prior to the beginning of a trip.

Omitting important information, refusing to sign, or altering the Release and Waiver Agreement, will render it and your Trip Cancellation/Interruption Protection invalid, and could result in expulsion from a trip at your own expense.

Participation: Although we want everyone to have a good time, it sometimes happens that someone participating in a trip can misbehave or do things that are incompatible with the safety, comfort, or convenience of other members of the trip. In those circumstances we have the exclusive right and discretion to expel someone (even you) from a tour at any time, without any claims or complaints by you against us.

Trip member expectations: Rasmussen Travels trips are physically active, our hotels are centrally located but may provide fewer amenities, and our people policy emphasizes NO COMPLAINTS! These are essential characteristics of the Rasmussen Travels trip experience. On any Rasmussen Travels trip, you assume certain obligations and responsibilities to Rasmussen Travels Co. and your fellow trip members, including, but not limited to, the following:

1. Carry or roll your own luggage for up to, or possibly more than, 15 minutes over uneven pavement from the vehicle to the hotel, then haul it up as many as five flights of stairs to reach your room.
2. Be comfortable on your feet with brisk two-hour walking tours, climbing lots of stairs, hopping on and off public transportation, plus standing and walking for up to four hours inside museums and outdoors in all weather conditions.
3. Sleep with no (or inadequate) air conditioning and street noise in some hotels.
4. After orientation and transportation lessons, be able to navigate towns and cities on your own during independent times.

Our trip guides cannot provide assistance for any of these activities! Trip members requiring help must be accompanied by an able companion who can be entirely responsible for providing the assistance. (If you have concerns about the physical demands of our tours, please call!)

Pack light: Each tour member is allowed to bring just one airline carry-on-size piece of luggage (approximately 21″ x 14″ x 9″) plus a small day pack or shoulder bag. Your Pre-Tour Planner includes tips for packing light and creatively.

Smoking policy: Smoking or vaping is not allowed on the vehicle, in the hotel, or where other tour members are present.

Children under 18: Children under age 18 must room with and be accompanied on the tour by a parent or guardian, who is responsible for participating in all tour activities in which the child partakes.
